The Transcript Macro
The Transcript Macro is a
tool that automatically condenses student transcripts copied from LOUIE into Microsoft Word.
By eliminating unnecessary blank lines and spaces, the macro will reduce the
size of a transcript by about 75%. Click the link below to download the macro. When asked whether to Open
or Save the file, click Save and browse to a location of your choice. Click Save and then follow the steps below to import and begin
using the macro.

Importing and configuring the
macro in Microsoft Word (tested with Word 2000, XP, and 2003)
To import the macro into your version of Word
- In Microsoft Word, go
to Tools-Macro-Visual Basic Editor.
- Highlight “Normal”
in the left pane and click File-Import File.
- Browse to and highlight
the "transcript.bas" file you downloaded above, and click Open.
- Exit the VB editor by
going to File-Close and return to Microsoft Word.
To add a toolbar button for convenience in running the macro
- Go to View-Toolbars-Customize.
- In the Commands
tab, highlight “Macros” in the left pane.
- Drag the macro (“Normal.Transcript.Transcript”)
from the right pane to anywhere on your toolbar.
- Before closing the
Customize window, right-click the newly-placed macro on your toolbar to
rename, change image, and set image/text style.
Using the Macro
- Open a student transcript in LOUIE with
Internet Explorer (not Netscape).
- Put your cursor where
you want to start copying (e.g. “Unofficial Transcript”). Then, while holding
down the left mouse button, move the cursor down to where you want to stop copying.
Release the mouse button (your selected text should still be
highlighted).*
- Press Ctrl-C to
copy your selection.
- Open Word.
- Press Ctrl-V to
paste your selection into Word (this may take several seconds,
depending on the size of the transcript).
- Run the macro** by
either clicking the button you created on your toolbar, or by going to
Tools-Macro-Macros, highlighting the macro and clicking
the Run button (this may take several seconds, depending
on the size of the transcript).
*If you use
Ctrl-A to select all, the macro will still work but your final output may
contain extra web content.
**If you ever
encounter a VB run-time error while running the macro, click End and
start over with step 1 under "Using the Macro" above.
